Job Summary/Overview:

The Information Technology Asset Management (ITAM) organization reviews and proactively manages the life cycle of investments in information technology to optimize assets, control and reduce costs, mitigate risk and drive compliance. The ITAM organization performs three primary functions: IT Asset Management (ITAM), Contract Management (including sourcing and negotiation) and Telecom Expense Management (TEM).

 

As a Senior IT Asset Management (ITAM) Analyst you will be responsible for the lifecycle management and governance of the company’s technology-related assets and contracts. The Senior ITAM Analyst makes sure that both daily and long-term strategic management of software and hardware are handled properly according to established policies and procedures. You will work in close coordination with IT Leadership and cross-functional stakeholders (e.g., Finance, Procurement, Legal, Information Security) to establish, enforce, monitor, and continuously improve asset management processes, standards, tools, and controls.

 

The Senior ITAM Analyst will lead and participate in projects/initiatives that drive the organization’s goals and align with ITT’s overall objectives. You will serve as a subject matter expert on software license compliance and IT contract terms. You will also oversee complex contract negotiations, prepare procurement solicitations (RFP’s) and contracts, and develop and deliver training and presentations regarding asset management and contracting topics.

Essential Responsibilities

  • Define, manage and maintain an inventory of IT software and hardware assets within the organization.
  • Develop processes, policies, guidelines, and other related materials to increase organizational maturity.
  • Assess business needs (intended outcomes) and be able to recommend options for various approaches and solutions to accomplish the business result.
  • Lead projects at all sizes, both operational and strategic.
  • Implement new tools and process with a deep attention to detail, ensuring your efforts lead to a well adopted product or service offering.
  • Conduct recurring and ad-hoc internal license compliance assessments for high-risk software, collaborating with various teams to gather information on license utilization to ensure compliance, optimize use and reduce/avoid cost.
  • You will conduct internal assessments for high-risk software to ensure license compliance and proactively prepare for future audits, which you will also lead/project manage.
  • Conduct comprehensive analysis of existing ITAM processes, identifying gaps and/or inefficiencies. Document or update specific processes, including workflow diagrams and standard operating procedures (SOPs).
  • Collaborate with cross-functional teams to automate IT processes, wherever possible.
  • Develop and deliver training and presentations on IT Asset Management topics, processes and best practices to internal and external audiences.
  • Manage and maintain a repository of IT contracts throughout their lifecycle, working with IT contract owners to prepare for upcoming renewals and store updated documentation.
  • Establish and leverage collaborative relationships with internal clients (IT Contract and Application Owners) to inform efficient and effective negotiations with key vendors.
  • Performs detailed IT contract (MSAs, SOWs, NDAs, SaaS Agreements, etc.) reviews and negotiations with a focus on mitigating risk and reducing spend, engaging Legal, CSOC and technical teams as needed.
  • Provides guidance and consultation to internal clients, peers and leadership regarding complex licensing and contractual issues.
  • Directs efforts, project plans, and staffing resources in special projects related to TAM’s goals and initiatives.

Position Requirements

Qualifications/Attributes:

  • Bachelor’s degree in Business, IT or related field.
  • Minimum of 7 years’ experience in IT asset management throughout an asset’s lifecycle with particular focus on software asset management and compliance (prefer experience at the enterprise level, in a global company)
  • Minimum 3-4 years’ experience in contract management, reviews and negotiations, 5+ years preferred.
  • Ability to deal with ambiguity in various situations, develop approaches to prevent the ambiguity from creating future issues, both for yourself and others.
  • Ability to interpret large raw data sets and conduct data analysis and software vendor audits
  • Experience working with a Configuration Management Database (CMDB); experience in building a CMDB from the ground up desirable.
  • Experience with strategic software vendors and their respective products from a contractual and license / service consumption highly desirable. Includes but it not limited to Microsoft Office 365 (multiple flavors), Microsoft Azure services, SAP S/4HANA, SAP BTP, etc.
  • Experience with cloud service cost optimization tools and processes, highly desirable.
  • Demonstrated ability to lead ITAM governance practices including experience in process analysis and design, working across organizational/functional groups, and process creation and flow documentation
  • Knowledge of vendor software contracts, licensing terminology, and software licensing rights, especially for major software vendors (Microsoft, Adobe, Autodesk, IBM, Oracle, SAP preferred). Must be able to interpret, analyze & summarize contracts, and evaluate pricing & licensing proposals.
  • Strong negotiation skills to ensure a win-win outcome for interested parties.
  • Technical knowledge of the information systems environment is preferred, including both hardware and software. Understanding key physical & virtual open systems and server data attributes (processors, cores, etc.)
  • Advanced Microsoft Excel, Word and PowerPoint skills required, Microsoft Teams and project planning/tracking software experience preferred (i.e., Project, Planner).
  • Working knowledge of dashboard/reporting tools (i.e., PowerBI)
  • Strong knowledge of ITAM best practices, ITIL principles, and governance.
  • Proficiency in IT asset management and inventory tracking and discovery tools: Snow, Microsoft System Center (SCCM), Intune and ServiceNow, preferred.
  • Any of the following certifications are a plus: CSAM, CITAM, ITIL, CTPE

Other: Minimal travel required, less than 5% on average.
