Position Summary

The Global Talent Acquisition team is hiring a Talent Acquisition Operations Coordinator to support the US Corporate Talent Acquisition team. This is a hybrid operations and coordination role focused on candidate care, interview scheduling, and recruiting operations support, including requisition creation. In this role, you will partner closely with US recruiters, HR Business Partners, and hiring managers. You will own the end-to-end interview scheduling process, guide candidates through the hiring journey with clear communication, and deliver a consistent and high-quality candidate experience.

Essential Responsibilities

Candidate Experience and Interview Coordination

  • Own end to end interview scheduling, including phone screens, virtual interviews, panel interviews, and onsite interviews and candidate calibration meetings.
  • Coordinate interview coordination across multiple time zones (Pacific to Eastern and outside of US) and stakeholder calendars.
  • Send interview confirmations, calendar invites, reminders, and interview day instructions!
  • Support coordination of on-site interview logistics, ensuring a smooth schedule.
  • Coordinate candidate travel, working with the ITT travel agency and lodging partners as needed.
  • Manage candidate reimbursement in alignment with company policy and partner closely with Finance teams.
  • Use approved automation and AI enabled tools within iCIMS to streamline scheduling and improve candidate communication quality.
  • Create job requisitions in iCIMS, the candidate applicant tracking system.
  • Ensure requisitions include accurate job titles, locations, cost centers, job levels, compensation ranges, and required approvals.
  • Support offer creation by entering offer details accurately in iCIMS and ensuring alignment with approved compensation and job level.
  • Ensure candidate communication remains clear and consistent during offer and pre-employment stages.
  • Maintain a high-level of confidentiality and professionalism, especially on sensitive and executive level searches.

Position Requirements

  • Full proficiency in English is required.
  • Minimum of three years of experience in recruiting coordination, Talent Acquisition operations, or candidate experience roles.
  • Bachelor’s degree in HR or a related field preferred.
  • Ability to work independently, make quick decisions, and manage tasks with minimal oversight.
  • Strong written and verbal communication skills with a candidate-first mindset.
  • Experience working in an applicant tracking system, iCIMS preferred.
  • Strong attention to detail and ability to maintain accurate and compliant records.
  • Comfortable using technology and AI enabled tools to improve workflow efficiency while maintaining a thoughtful, human approach.
  • Experience scheduling across global and cross-functional teams.
  • Experience supporting manufacturing or operational hiring environments preferred.
