The HR Operations Specialist supports employees, supervisors, and managers across a broad range of people and HR activities. The role combines a visible presence within production operations with accurate execution of HR processes, systems, documentation, and administrative follow-up. The position acts as an accessible and trusted point of contact, helping resolve day-to-day people matters while ensuring reliable and compliant HR delivery.
Key Responsibilities
Employee and Operational Support
· Serve as a visible and approachable HR presence within production and office areas.
· Build effective relationships with employees, supervisors, managers, and HR colleagues.
· Respond to employee questions and concerns in a timely, clear, and professional manner.
· Support communication between employees, operations, and HR, adapting the message to the audience.
· Assist with workplace concerns and conflict situations, escalating complex or sensitive cases appropriately.
· Support a respectful, inclusive, and safe working environment.
HR Process and Administration
· Support onboarding, internal moves, employee changes, and offboarding activities.
· Maintain employee data, personnel files, and HR system records with a high level of accuracy.
· Prepare and follow up on employment documentation, contracts, letters, and routine HR transactions.
· Support absence, leave, time-related, and payroll input processes as required.
· Ensure activities are completed on time and in line with company policies and applicable requirements.
· Handle personal and confidential information with discretion.
Recruitment and Workforce Support
· Coordinate recruitment activities, interviews, candidate communication, and pre-employment documentation.
· Support hiring managers and HR colleagues throughout the recruitment and selection process.
· Coordinate new-hire preparation and facilitate a structured onboarding experience.
· Provide flexible support for workforce and staffing priorities as business needs evolve.
Learning, HR Projects, and Improvement
· Coordinate training activities, participation records, logistics, and administrative follow-up.
· Contribute to HR projects, employee initiatives, and implementation of HR tools or systems.
· Prepare reports, trackers, and data summaries to support HR and operational decisions.
· Identify practical opportunities to simplify processes, improve accuracy, and strengthen the employee experience.
· Take ownership of assigned actions and follow them through to completion.
· Bachelor degree or equivalent experience in HR, Business Administration, Psychology, or a related field.
· Previous experience in HR, employee support, administration, customer service, or another people-facing environment (3+ years).
· Experience in a manufacturing, operational, or fast-paced environment is preferred.
· Comfortable working both on the production floor and in an office environment.
· Working knowledge of HR systems and Microsoft Office; ability to learn new systems quickly.
· Professional fluency in Dutch and English is preferred for the local and international work environment.
